Position Title: Grants / Advancement Manager

FLSA Status: Exempt (full-time) 

Hiring Range:  $45,000 to $ $ 55,000 (DOE) 

Location: Tucson, AZ 

SUMMARY: The Grants / Advancement Manager will be responsible for conducting  networking and research to enlarge the pool of potential qualified prospects. Writes project related proposals and ministry updates to secure and retain revenue to support the ministry. Provide direct support to Executive Director of Advancement in scheduling, budget management, travel arrangements, expense reporting and all support needed. Provides administrative support for Advancement Department to enhance and grow ministry impact.


  • Develops corporate & foundation networks and build relationships through interviews, meetings, and presents strategic proposals for support, retention and growth for the Ministry.
  • Study and understand the history, structure, objectives, programs, and financial needs of the organization.
  • Research grant opportunities from family and corporate foundations.
  • Write grant proposals, manage a grants calendar, and keep track of various deadlines and due dates.
  • Prepare proposals packet for approval before submission.
  • Respond to internal and external queries on drafted and submitted proposals.
  • Maintain positive relationships with fund providers and other stakeholders.
  • Maintain records and submit timely reports on investment related to grants funded.
  • Works directly with Executive Director of Advancement on grants qualifications and proposal submissions.
  • Performs other various administrative functions including, but not limited to, preparing presentations (including donor presentation packets), compiling/disseminating minutes & action items, gathering/assembling quarterly board report information, proofreading/editing letters/memos and other documents, and coordinating department’s yearly review process.
  • Project manage on donor appreciation and solicitation from writing annual strategic initiative proposals, holiday cards, birthday cards, and appreciation gifts.
  • Write and coordinate Major Donor thank you letters.
  • Provides general administrative assistance, as needed, to the Advancement Department team as needed, but not limited to, coordinating travel arrangements, and managing various in-house projects.
  • Project manage all appreciation gifts for Ministry Champions, Heritage Circle Members and Business Partners.
  • Manage and create all Advancement Team donor report through CRM. Ability to collect and analyze data for reporting and presentation.


  • Support Sharathon Drive as assigned.
  • Participate in all staff functions (i.e. Monday morning prayers, weekly chapel, team building activities, team summit, etc.).
  • Perform other duties as assigned.


  • Strong PC skills including proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Strong organizational and decision-making skills with skill in planning, coordinating and establishing priorities
  • Excellent communication skills both oral and written; able to communicate tactfully and professionally with all levels of internal and external customers
  • Knowledge of accounting and budgeting procedures and techniques
  • Excellent calendar management skills
  • High level of interpersonal skills including ability to handle sensitive and confidential situations with demonstrated poise, tact and diplomacy
  • Ability to work both efficiently and effectively under pressure
  • Ability to problem solve and make timely decisions
  • Analytical skills to extract and verify data
  • Strong attention to detail with ability to handle multiple tasks and projects
  • Ability to work independently with only general supervision, exercising sound and professional judgment
  • Proficient in internet and other types of research


  • Bachelor’s Degree in business or other relevant field; or equivalent education and experience
  • Two (2) years progressive experience in grant writing
  • Highly organized, detailed oriented and exceptional in written and oral communication
  • Knowledge of foundation process and procedures and reporting requirements
  • Demonstrated self-starter and ability to work independently balancing multiple projects simultaneously
  • Experience in facilitation of multi-department execution of projects
  • Experience managing multiple projects to ensure deliverables and scheduling deadlines are met
  • Experience generating reports, charts and quality assurance
  • Experience with process flow management systems [MS Project or equivalent software]
